Job Description:

Position Overview

Responsible for project purchasing for the Company. Tasks will include coordinating the approval and expedition of all purchases; analyzing changes or new issues in materials and supply to reduce costs and improve quality; reviewing all purchase requests for accuracy; managing the timing and location for equipment deliveries; and, evaluating vendor reliability. The Purchasing Agent is expected to provide periodic reports on the level of financial commitments from purchasing. This position will work very closely with Customer Program Managers (CPM’s), Directors, Clients and vendors.


  • Purchasing computer & technology equipment for multiple clients while working under strict deadlines
  • Tracking and communicating equipment arrival dates for technicians and Customer Program Management team
  • Staying aware of new technology and working with technicians to determine client needs
  • Maintaining up-to-date records of manufacturers and vendors
  • Monitor in-house inventory movement and complete inventory transfer forms for bookkeeping purposes
  • Determine if inventory quantities are sufficient for needs, ordering more materials when necessary
  • Locate suppliers, using sources such as catalogs and the internet, and interview them to gather information about products to be ordered.
  • Compare prices, specifications, and delivery dates in order to determine the best bid among potential suppliers
  • Prepare purchase orders and send copies to suppliers and to departments originating requests
  • Respond to internal & external customer and supplier inquiries about order status, changes, or cancellations.
  • Contact suppliers in order to schedule or expedite deliveries and to resolve shortages, missed or late deliveries, and other problems.
  • Review requisition orders in order to verify accuracy, terminology, and specifications
  • Prepare, maintain and review purchasing files, reports and price lists
  • Track the status of requisitions, contracts and orders
  • Calculate costs of orders and charge or forward invoices to appropriate accounts
  • Compare suppliers’ bills with bids and purchase orders in order to verify accuracy
  • Verify the quantities ordered are the quantities received
  • Responsible for coding purchase orders so costs are appropriately allocated
  • Manage and maintain open purchase order report
  • Works proficiently with inventory parts, stocking locations, kitting content and rotating inventory counts

Experience and Skills:

  • 1-2+ years of experience purchasing IT software and hardware desired
  • Experience quoting and purchasing IT equipment with many different vendors
  • Ability to stay organized and prioritize workload
  • Proficiency with Microsoft Office, QuickBooks
  • Ability to work independently
  • Experience with internet research and email
  • Above average telephone and interpersonal skills
  • Experience negotiating contract terms and conditions
  • MPR experience helpful
  • Knowledge of replenishment strategies and reducing lead times a plus
  • Proven ability to maintain confidential information

Work Environment/Dynamics

  • The majority of working hours will be in an office environment.
  • Must have internet access at home to be able to remotely VPN to the work environment when necessary.
  • Periodic short term trips will be required.
